Case Study:  Cinema Collet – When You Absolutely, Positively Need to Get Cracking Yesterday

After nearly a decade as Director of Programming at AFI Fest in Los Angeles, Nancy Collet opened her own consulting firm to provide festivals all over the world with her experience and connections.  In addition to hiring a professional staff of screeners, Nancy continued to attend events from Rotterdam to Abu Dhabi to Toronto while meeting regularly with studio execs about upcoming releases.

But tracking the wide array of films she’d seen – including not just where they’d shown but who she’d talked to, what her screeners had thought, and which clients they’d be appropriate for – became an Excel-size headache.  By the time she approached Evolution Workshop about a database, she was already juggling spreadsheets and Word documents in an effort to keep up with the data.

Based on her needs, we proposed a simple three-table database that allowed her to track films, contacts and festivals, with additional sub-tables for screeners, clients and awards.  During the design process itself, we found that additional functionality could be added without increasing development costs, such as one-click shortcuts for locating all films for a given client and emails generated directly from the database to save time when contacting filmmakers.

From request to proposal to completion, the entire project was finished in two weeks.  Nancy’s response?  “Wow!  This is amazing.  I’m loving life right now.”  We were pretty happy too.  Sample screenshot below.
